Vendor Rules & Regulations

These rules protect vendors, patrons, organisers, and the venue. Every vendor and stand representative must comply throughout the event.

1. Eligibility and registration

  • Provide accurate personal, business, brand, and contact information.
  • Only approved products and services may be displayed or sold.
  • The registered vendor remains responsible for employees, agents, and stand representatives.
  • Registration may be rejected where information is false, incomplete, misleading, or conflicts with event requirements.

2. Stand allocation and use

  • A stand is confirmed only after successful payment and confirmation from VendSpace.
  • Vendors must occupy only the stand number and area assigned to them.
  • Stands may not be sold, sublet, shared, exchanged, or transferred without written organiser approval.
  • Organisers may adjust allocations for safety, infrastructure, sponsorship, crowd control, or operational reasons.

3. Products, services, and conduct

  • Illegal, counterfeit, unsafe, expired, offensive, or unauthorised goods are prohibited.
  • Weapons, controlled substances, and hazardous materials are prohibited unless expressly authorised by law and the organisers.
  • Aggressive solicitation, harassment, discrimination, disorderly conduct, and obstruction of walkways are prohibited.
  • Prices and product descriptions must not mislead patrons.

4. Food, drinks, hygiene, and safety

  • Food and beverage vendors must comply with applicable Ghanaian food-safety and public-health requirements.
  • Food must be stored, prepared, and served hygienically with safe water, clean equipment, and suitable waste containers.
  • Open flames, gas cylinders, generators, and high-load electrical equipment require prior approval and safe positioning.
  • Vendors must immediately report hazards, injuries, fire, theft, or security concerns.

5. Setup, operating hours, and access

  • Vendors must observe announced setup, opening, closing, and dismantling times.
  • Vehicles may enter restricted areas only during approved loading periods.
  • Vendor passes must be worn or presented when requested and may not be shared.
  • A stand must not be left dangerously unsecured or abandoned during operating hours.

6. Branding, sound, and structures

  • Displays must remain within the assigned stand boundary and must not block emergency routes or neighbouring vendors.
  • Temporary structures, banners, lighting, sound systems, and promotional activity must comply with organiser instructions.
  • Excessive noise, unauthorised public-address systems, and materials that damage the venue are prohibited.

7. Waste, property, and restoration

  • Keep the stand and surrounding area clean throughout the event.
  • Dispose of waste only at designated collection points.
  • The vendor is responsible for damage caused by the vendor, staff, contractors, equipment, or customers under the vendor's control.
  • The stand area must be cleared and restored at the end of the event.

8. Enforcement

Organisers may issue warnings, suspend operations, remove prohibited items, close a stand, revoke access, or cancel a booking where these rules are breached. Serious or repeated breaches may be referred to KNUST security or the appropriate authorities. A removal caused by vendor misconduct does not automatically qualify for a refund.
